FREQUENTLY ASKED QUESTIONS DISTRICT 11 SUPPORTED STATE AND NATIONAL CONFERENCES
The office of Career and Technical Education, with the support of the district administration and the Board of Education recognizes and encourages the co-curricular activates available as part of our CTE pathways.
The office of CTE is authorized to support our CTSO activities to the greatest extent possible and this includes supporting students with the costs associated with participation at local, regional, state and national events and conferences.
No activity is guaranteed complete sponsorship and some costs may be necessary to be paid at the local club or personal level, but the following FAQ should shed light on some of the most common concerns.
GENERAL CONFERENCES AND EVENTS
ARE STUDENTS PROVIDED TRANSPORTATION? Yes. We will provide transportation to all events using approved district methods. These will usually include the use of a district suburban, activity bus driven by a trained instructor or large bus driven by a certified driver.
DOES THE DISTRICT PAY FOR REGISTRATION? Yes, when possible. Local CTSOs are encouraged to fund raise to support the cost of local events, but when possible, the district may support any and all registration costs associated with student participation in CTSO activities. This can include conference registration as well as entries to competition of judging events.
WHICH STUDENTS ARE ELIGIBLE? Eligibility for CTSO participation is managed at the organizational and site level. While CTSO’s are not governed by the Colorado High School Activities Association, the CHSAA practices will commonly be the default for academic and behavioral eligibility. As recognized D11 activities, all events and conferences requiring absence from classroom time will be school excused.
WHO ARE DESIGNATED CHAPERONES? CTSO events must have at least one District CTE Advisor attending all events with students. For events in which additional chaperones are recommended, the chaperone must be determined at the time that the district approves the field trip. These chaperones must be listed on the D11 Field Trip request form and MUST meet all D11 Engage (formerly Volunteer Services) requirements. https://www.d11.org/D11Engage
- Parents who attend events and conferences who are not pre-approved registered chaperones will not be compensated or reimbursed for any costs assumed during the event or conference.
- Parents who are not pre-approved registered chaperones should not transport students, except their own.
DOES THE DISTRICT REQUIRE GENDER SPECIFIC CHAPERONES DEPENDING IN THE GENDER OF STUDENTS? No. The district doesn’t not have BOE policy concerning the gender of an advisor/sponsor or chaperone. The office of CTE will approve additional chaperones as requested by the advisor/sponsor and his or principal. Additional sponsors or chaperones must be listed on the D11 Filed Trip request form and approved by administration.
ARE FIELD TRIP FORMS REQUIRED? Yes. All CTSO events occurring away from a district site will require the parent to complete the appropriate field trip form as designated by board policy.
- Field trips within El Paso County require ONLY parental consent and affirmation of media release status.
- Field Trips outside El Paso County, but withing a 100 mile range, require parental consent, media release verification AND additional medical information including: Insurance information, medicines needed and any allergies.
- Filed Trips further than 100 miles from El Paso County AND/OR requiring overnight accommodations require parental consent, media release verification AND additional medical information including: Insurance information, medicines needed and any allergies, AND a medical power of attorney that has been notarized.
OVERNIGHT CONFERENCES AND EVENTS
DOES THE DISTRICT PAY FOR ACCOMODATIONS? Yes, when possible. Student accommodations may be supported as much as possible. Students will generally be required to share accommodations with other students to reduce costs. When possible, we will defer to recommendations made by the organizing CTSO body based on the location of an event.
TRAVEL TO CONFERENCES OR EVENTS BY PLANE
DOES THE DISTRICT PAY FOR TRAVEL BY PLANE? Yes, when possible. The office of CTE will purchase all flights for all students, advisors/sponsors and designated chaperones, together, when possible. This may require the agreement for a special group package and individual flights may not be available. All students travelling by plane for district events are required to travel with the advisor unless they are travelling privately with a parent or guardian.
- We will always attempt to use the Colorado Springs airport as a first choice for departure and return.
- We will limit the time on either end of a conference to the extent possible.
- We will try to arrange departure and arrival between the hours of 7 a.m. and 7 p.m.
HOW DOES THE DISTRICT SUPPORT A PARENT WHO WISHES TO TRAVEL WITH THEIR STUDENT? The district recognizes the support and enthusiasm of community and family involvement. However, we are unable are not able to buy plane tickets or lodging for parents. We can only purchase airfare and hotel for students, advisors/sponsors and official chaperones.
- If a parent insists that a student stays in the same room as themselves, they are choosing to cover the hotel cost as a private event. We will pay for the student’s registration.
- The district will not reimburse mileage for any parent who elects to drive to the event with their child.

A field trip is defined as “any academic, instructional, performance or other District approved trip taken by District students to any location away from the student’s school.” Board Policy IJOA (and associated regulations) “Field trips are a very important part of the instructional program of the district. Purposeful, wellorganized and properly supervised travel experiences enable students to discover new worlds, stimulate interest in further learning, increase cultural awareness and bring historical events to life.” Pursuant to the Board of Education action on 10/12/16, once a standard field trip has been approved by the school principal it is no longer necessary to route it to the Risk Management Office for review. Schools should maintain the completed field trip forms in their offices. It is recommended that forms are kept for three years from the date of the field trip. Standard and non-standard field trips do not require review by Risk Related Activities. Please note: Starting school year 2015-2016, the Colorado Department of Public Health and Environment requires a cpr/first aid certified staff member on all field trips. 1. STANDARD: Field Trip local (within El Paso County). Signatures: a. Must have school principal’s signature Student Forms:

Field trip volunteers (including parents): must be registered with the District 11 Engage Office and, depending on the type of volunteer background check required, fingerprinted before participating in field trip activities. This process can take up to 90 days, please pre-plan accordingly.
